You do. Every facility, service visit, photo, and inventory record belongs to your account. We never share, sell, or commingle your data with another customer. You can request a full export at any time as branded PDF reports today, with CSV export rolling out in our next phase — no lock-in, no exit fees. The customer portal is built on a multi-tenant database where each customer's data is isolated at the schema level, with an audit log tracking every administrative change.

Yes. Texas is one of our two primary markets. Yes. RPM Filter is headquartered in Nashville and Middle Tennessee is our home market. We service Nashville, Brentwood, Franklin, Murfreesboro, Spring Hill, Mt. Juliet, Hendersonville, Gallatin, Lebanon, and the broader Davidson, Williamson, Rutherford, and Wilson county area. Same-day filter service is available in Middle Tennessee for plan customers.
How quickly can you start service after I sign a contract?
For most customers, your first scheduled visit is within 14 days of contract signature, and your customer portal goes live within 24 hours. We do not require multi-month onboarding cycles like larger national vendors — onboarding is fast because we already have your filter spec, schedule, and reporting system in place from day one.
Do you offer same-day or emergency filter service?
Yes. Plan customers get priority dispatch for one-off and emergency filter service requests. Standard response is within 24 hours for non-emergency requests. What's the difference between RPM Filter and a general HVAC contractor?
General HVAC contractors install equipment, service compressors, clean ducts, and sometimes change filters as a side service. RPM Filter does only filters. That focus means consistent technician routing, dedicated scheduling, photo documentation per visit, and no upsells to services you didn't ask for. We are not trying to sell you a new condenser. What types of HVAC filters do you install?

What is MERV and what MERV rating do I need for my building?
MERV stands for Minimum Efficiency Reporting Value, which measures a filter's ability to capture particles. MERV 8 is standard for typical office buildings. MERV 11 is common for higher-traffic commercial spaces. MERV 13 is the ASHRAE-recommended minimum for healthcare facilities and any space prioritizing indoor air quality, capturing particles down to 0.3 microns including most virus carriers. What's the difference between MERV 11 and MERV 13?
MERV 11 captures particles down to 1.0 microns including pollen, dust, dust mites, and mold spores. MERV 13 captures down to 0.3 microns including bacteria, smoke, and most virus carriers. ASHRAE recommends MERV 13 minimum for healthcare facilities. LEED-pursuing buildings often require MERV 13 in primary air handlers. The tradeoff: MERV 13 has higher pressure drop, which means HVAC equipment must be sized to handle the additional resistance. We can audit your equipment to confirm MERV 13 is appropriate before installation.
Do you install HEPA filters?
Yes. RPM Filter installs HEPA filters in healthcare facilities, surgical suites, cleanrooms, laboratories, and any environment requiring particle capture down to 0.3 microns at 99.97 percent efficiency. We provide scan-test certificates for HEPA installations where required by compliance, including ASHRAE 170 documentation for healthcare environments.
What brands of filters do you install?

Do you require a long-term contract?
No. Standard RPM Filter service plans are month-to-month with 30-day cancellation. We do not require annual or multi-year contracts to start service. Annual contracts are available for customers who want them, typically with a small discount. We earn the renewal every visit.

Standard service plans include scheduled filter replacement on the cadence we agree on, all filter products at plan-customer pricing, technician labor and trip fees, pre-visit confirmation emails 3 business days before each visit, photo documentation per air handler per visit posted same-day to your customer portal, downloadable PDF service reports per visit, monthly summary reports across all your facilities, and priority response for one-off requests. How does billing work?
RPM Filter bills net-30 by default with monthly invoicing. ACH, check, and wire are all accepted. Annual prepayment is available with a small discount. Invoices are visible in your customer portal with downloadable PDFs for each. Most customers route the invoice through their AP system the same way they handle other commercial vendors.

What does a service report include?
Every per-visit service report includes the date and time of service, technician name, all filter sizes and MERV ratings installed (grouped by air handler), photos of each air handler before and after filter replacement, technician notes on any equipment observations, and recommended actions if any. The report is downloadable as a PDF and emailable to your compliance team or building ownership in one click.
